Day of Coordination

Starting at $600

This package is designed for the couple who have completed all their wedding plans and want a professional to execute these plans on their wedding day. Our day of wedding planning service begins one month out.

 

We tie any loose ends so you will be at ease. We will conduct the ceremony and reception according to your plans and specifications so that your special day is flawless. On your wedding day, we will be your direct line of communication for family, the wedding party, guests and vendors. Our team will communicate with and guide your vendors for set up according to your timeline.

Day of Wedding Coordinator Package includes: 

  • One Month Prior to Wedding Day

  • Wedding Coordinator will meet with bride and groom at venue, review venue setup. Go over any arrangements the couple has previously made with vendors, review timeline and wedding party schedules. Make sure that all vendors have address of ceremony and reception locations and The Wedding Coordinator contact information.

Please Note: A day-of-coordinator will not re-negotiate any terms in contracts with vendors at this time, or at any other time prior to, during, or after your wedding day. All agreements should be finalized prior to the wedding.

 

Rehearsal

  • Work with officiator to choreograph wedding ceremony, processional and recessional

  • Alert wedding party as to where they need to be the following day, and at what time

 

Pre-Ceremony

  • Set up programs and other ceremony items i.e. guest book, unity candles

  • Make sure photographer arrives on time and has a “must shoot” list

  • Ensure that bridal bouquet and wedding party flowers have arrived

  • Distribute personal flowers to wedding party

  • Make wedding party aware of any last minute details

 

Ceremony

  • Ensure that ushers/groomsmen are ready to pass out programs

  • Ensure that ceremony musicians have arrived and direct them as to where to set up

  • Alert ushers/groomsmen as to when to begin escorting guests to their seats

  • Act as a liaison with the officiator and the start of the ceremony

  • Communicate with bride and groom how long before the start of the ceremony

  • Line up the bridal party for their entrances down the aisle

  • Cue ceremony musicians when bridal party is ready to begin processional

  • Gather family and friends for after ceremony photos

 

Prior to Reception

  • Greet vendors and instruct them where to set up; wedding band, florist, caterer, and wedding cake

  • Make sure reception flowers/décor is set up according to the client’s vision

  • Ensure escort cards are arranged properly

  • Set up guest book and pen, champagne flutes, cake cutting utensils

  • Along with catering staff ensure table numbers/names and menu cards in place

  • Meet with catering staff to confirm food timeline and any guest with food allergies

  • Set up amenities baskets in bathroom

 

Reception

  • Ensure proper flow of cocktail hour

  • Look over dining tables and make sure they are set up properly

  • Along with catering staff, encourage guests to join bride and groom for dinner at the end of cocktail hour

  • Help guests locate their escort cards and dining tables

  • Coordinate bride and groom/wedding party introduction at reception

  • Cue band when the majority of guests have found their tables and bride and groom are ready to be introduced

  • Cue band, photographer and videographer when important events take place at reception i.e. first dance, cake cutting, toasts and parent dances

  • Cue best man and father of the bride when they are about to be announced for toasts

  • Be aware of timing of catering service and make sure people are served promptly

  • Distribute final payments/gratuities to vendors at the end of the evening (paid for by the client)

  • Prevent and fix any problems that may arise during your event

  • Set up favor table towards the end of the evening

  • Ensure gifts/cards, miscellaneous ceremony and reception items are ready to be taken to a family members car at the end of the night
